Convert bank statement to CSV

PayPal's "Download CSV" gives you 40+ columns, three rows per transaction (sale, fee, transfer), and timestamps in your account's display timezone. QuickBooks and Xero choke on it.

Here's how to turn that mess into a clean ledger your bookkeeping tool will accept on the first import.

What PayPal's CSV looks like

A single $50 sale becomes three rows:

If you import this raw, QuickBooks treats it as three separate transactions and your reconciliation will be off by every fee on every sale.

The fix

Our PayPal → QuickBooks tool collapses the three rows into a single accounting entry:

  • Income — Gross amount, posted to your sales account
  • Expense — Fee, posted to "PayPal Fees" expense
  • Transfer — Net, matched against your bank deposit

Output is a .qbo file (QuickBooks) or pre-formatted CSV (Xero).

Steps

Multi-currency

If you accept payments in EUR, GBP, etc., PayPal adds "Currency Conversion" rows. Our tool keeps the original currency on the income row and lets QuickBooks/Xero handle FX gain/loss in your home currency account.

Refunds and chargebacks

- Refund — posted as a negative income entry, fees credited back where applicable - Chargeback — split into chargeback principal + chargeback fee - Hold / Released — ignored (they net to zero)

Why this matters for taxes

PayPal will issue you a 1099-K (US) or equivalent based on gross sales. If your QuickBooks ledger only shows net deposits, your reported revenue will be ~3% lower than what the IRS sees. Importing properly fixes this.
