If you're picking a bookkeeping tool primarily to clean up bank statements, the choice almost always comes down to QuickBooks Online vs Xero. Both import CSV. Both connect to most banks. Both cost roughly the same. So which one wins for the workflow most small businesses actually run — *take a PDF statement, turn it into reconciled transactions, file taxes*?

We ran the same 12 months of statements (mixed Chase, HSBC, Monzo, Revolut, Wise) through both and timed every step.

TL;DR

- QuickBooks Online — better in the U.S. for tax integration (1099s, payroll, sales tax) and the largest accountant network. Bank feed reliability is hit-or-miss outside the top 20 U.S. banks. - Xero — better in U.K., Australia, NZ, and Canada. Cleaner UI, stronger multi-currency, the best bank-rule engine on the market. Slightly weaker in U.S.-specific features. - CSV import works in both, but the column shapes differ. The converter exports both formats.

Bank statement import — the actual workflow

QuickBooks Online

- Banking → Link account → Upload from file. - Accepts CSV, QBO (Web Connect), and OFX/QFX. - CSV: 3-column (Date, Description, Amount) or 4-column (Date, Description, Credit, Debit). - Caps each upload at 1,000 transactions. - Auto-categorisation kicks in after ~10 categorised transactions per payee.

Xero

- Accounting → Bank accounts → Manage account → Import a Statement. - Accepts CSV, OFX/QFX, and Xero's own .xlsx template. - CSV columns: Date, Amount, Payee, Description, Reference, Cheque Number — strict order. - No transaction cap per upload. - Bank Rules let you auto-categorise on payee, amount, description, or any combination. Much more powerful than QuickBooks' built-in matching.

The converter exports the QuickBooks shape by default. For Xero, use the dedicated PDF to Xero converter — it emits the strict column order Xero expects.

Reconciliation speed

On a 312-transaction month of mixed accounts:

  • QuickBooks Online: ~22 minutes including bank rule setup and manual review of unmatched items.
  • Xero: ~14 minutes. The bank rules caught more, the keyboard shortcuts are faster, and the "Find & Match" panel is genuinely better.

If reconciliation is a daily or weekly task, Xero wins. If it's a year-end catch-up, the difference is smaller.

Pricing (June 2026)

- QuickBooks Online: Simple Start $30/mo, Essentials $60/mo, Plus $90/mo, Advanced $200/mo. U.S. pricing. - Xero: Starter $20/mo, Standard $47/mo, Premium $80/mo. U.S. pricing.

Xero's Starter caps invoices and bills, so the meaningful comparison is QBO Essentials ($60) vs Xero Standard ($47). Xero is cheaper.

Multi-currency

- QuickBooks: only on the Essentials plan and up. Currency is per-transaction, not per-account. - Xero: on the Premium plan only, but the implementation is far cleaner — bank accounts can be in any currency, FX gains/losses are calculated automatically.

For Revolut, Wise, or any business that holds GBP + EUR + USD: Xero is the right answer.

Tax & integrations (U.S.-specific)

- QuickBooks: 1099-NEC filing, sales tax automation, QuickBooks Payroll, Intuit TurboTax handoff. Tightly integrated for U.S. tax workflows. - Xero: 1099 reporting works but requires a third-party app (Track1099, Tax1099). Sales tax is fine, but less automated.

For U.S. sole proprietors and contractors filing 1099s, QuickBooks saves time at tax season.

Tax & integrations (UK/AU)

- Xero: built for MTD (Making Tax Digital) in the UK. Native VAT returns, CIS, payroll. The de-facto choice for UK accountants. - QuickBooks: MTD support exists but the experience is rougher and accountants prefer Xero.

App ecosystem

Both have 800+ third-party apps. Xero's marketplace skews international and ops-heavy (Hubdoc for receipts is included free). QuickBooks' skews U.S. SMB (Bill.com, Gusto, Square).

When to pick QuickBooks

- You're U.S.-based. - You file 1099s for contractors. - Your accountant insists. - You need integrated payroll.

When to pick Xero

- You're UK, Australia, NZ, Canada, or international. - You reconcile weekly and want the fastest bank-rule engine. - You hold multi-currency accounts. - You hate QuickBooks' UI (this is a more common reason than people admit).
