The 5-Minute Scan-to-QuickBooks Workflow (Receipts → Books)

Manual receipt entry is the worst part of bookkeeping. Here's the workflow that killed it for us.

Step 1 — Scan the stack

Throw the receipts into the feed tray of a Fujitsu ScanSnap iX1600 (40 ppm, duplex). Hit one button. Walk away. Come back to a multi-page PDF in the cloud folder you preset.

If you're on a tighter budget the Epson WorkForce ES-500W does the same job for ~$100 less. Both will pay for themselves in the first month.

Step 2 — Convert PDF to CSV

Drop the PDF into the bank statement to CSV converter. Three seconds later you have a clean CSV with date, description, and amount columns. No upload, no signup, no row limit — it all runs in your browser.

For bank statements specifically, use the PDF → QBO converter which spits out a QuickBooks-native .qbo file. One click import.

Step 3 — Categorise with AI

Run the CSV through the AI categorizer — every row gets tagged (Meals, Office Supplies, Software, etc.) in one shot. Review, override the few that are wrong, export.

Step 4 — Import to QuickBooks

File → Utilities → Import → Web Connect (.qbo) or Excel. Done. The reconciliation panel matches everything against the bank feed.
