If you're a bookkeeper, accountant, or small-business owner still typing receipts into a spreadsheet by hand in 2026 — stop. A good document scanner pays for itself in the first month. We tested seven of them. Here's the honest ranking.

The winner: Fujitsu ScanSnap iX1600

The Fujitsu ScanSnap iX1600 is the gold standard, full stop. 40 pages per minute, duplex, one-touch presets that drop scans into your QuickBooks-ready folders over Wi-Fi. We fed it a 200-receipt shoebox and it didn't blink. At ~$500 it's the most expensive on this list — and the only one we'd buy twice.

If you process more than 100 documents a month, the ROI math is brutal: at 30 seconds per manual entry, the iX1600 pays for itself in under 8 weeks of saved labour.

Best value: Epson WorkForce ES-500W

The Epson WorkForce ES-500W is what you buy if the Fujitsu's price tag makes you wince. 35 ppm, double-feed detection (saves you from stapled-receipt disasters), and the best TWAIN drivers in the business for older accounting suites. ~$400 and worth every cent.

Best compact: Brother ADS-1700W

A crowded desk problem? The Brother ADS-1700W is barely larger than a loaf of bread. 25 ppm, color touchscreen, scan-to-cloud presets. ~$300. Perfect for a home office.

Best portable: Doxie Go SE

On-site client work? The Doxie Go SE is battery-powered and scans straight to an SD card. No laptop required. ~$230. The only scanner we've ever thrown into a bag and forgotten about.

The full workflow

Scan → convert PDF → import to QuickBooks. The middle step is what we built convertbank for. Drop the scanned PDF into the bank statement to CSV converter and you've got a clean CSV ready for QuickBooks or Xero in 5 seconds.

What we'd skip

Flatbed-only scanners. Photo scanners. Anything under $150 that promises "AI receipt scanning" — it's a webcam in a plastic shell.

Honourable mentions

For receipt-heavy practices, pair the iX1600 with accordion receipt files for paper backup (~$15). And if you're printing 1099s and client paperwork, the HP OfficeJet Pro all-in-one handles the boring stuff cheaply.

The verdict

Buy the Fujitsu iX1600 if you can. Buy the Epson ES-500W if you can't. Everything else is a compromise.
